A quick vocabulary clean-up before we start. A PMS — property management system — is the central brain: reservations, guest records, invoicing, housekeeping, rates. PMS vs channel manager: what is the difference?
The short version: a PMS runs the property, a channel manager sells it. The PMS is where a reservation lives once it exists — the guest record, the invoice, the rate plan, the housekeeping list, the arrivals for tomorrow morning. The channel manager is the distribution layer that pushes your availability out to Booking.com, Airbnb, Expedia and Vrbo, and pulls the resulting reservations back in so two guests never book the same room for the same night.
They solve opposite problems. Without a PMS you have bookings and no operation. Without a channel manager you have an operation and no reach. And neither one takes a commission-free booking on your own website — that is the booking engine, the third piece, and the only one that decides how much of your revenue you keep.
Do you need all three? A single villa selling mainly through Airbnb can start with one bundled tool. A boutique hotel with fifteen rooms, three OTAs and a direct-booking ambition needs all three working together, whether that is one platform or two that integrate cleanly. The mistake we see most often is a beautiful website with no booking engine behind it, sending guests back to Booking.com to complete a reservation the property could have taken itself. Mews — the newer name worth knowing
Mews is a modern PMS and channel manager built for boutique properties and small portfolios. Its interface is calmer than the older enterprise systems, its automations are genuinely usable without a two-day training, and it plays nicely with independent booking widgets embedded on custom websites. Where Mews earns its place is with owners who want serious channel management — Booking, Airbnb, Expedia sync, dynamic pricing hooks, guest messaging — without buying the operational complexity of Guesty or Avantio. If you run one boutique hotel, a small villa portfolio, or a curated collection of five to twenty-five units and you want the software to feel like the property, Mews is worth a demo.
Lodgify — approachable, quick to deploy
Lodgify is the platform we see most often behind independent villas and small vacation rental operators. Its strengths are simplicity, a decent template-based website builder for owners who need a fast start, and honest pricing. Channel manager coverage is solid for Booking, Airbnb, and Vrbo. The trade-off is ceiling: once you pass fifteen to twenty units, its reporting and multi-property operations start to feel thin. For a single villa or a small family portfolio launching this season, Lodgify is often the right first step.
Avantio — the Spanish-market veteran
Avantio is the platform we see behind serious Spanish vacation rental businesses — established property management companies with fifty to several hundred units, especially on the Mediterranean coast. It handles complex commissioning structures, owner statements, and Spanish tax and licensing requirements natively, which none of the international platforms do as cleanly. Avantio's UI is dated and its onboarding is slower, but for a Costa Brava property management company that has to file trimestral reports and manage owner splits, it remains the most operationally complete option in its segment.
Guesty — the enterprise choice
Guesty is the biggest name in short-term rental management software. It is powerful, extensively integrated, and expensive. It makes sense at scale — from around forty units upward, or wherever you need a serious API to plug in dynamic pricing tools, revenue management, and multi-brand operations. For a five-unit boutique operation Guesty is overkill, and its per-unit pricing punishes small portfolios. For a fast-growing property management company running eighty units across brands, it is often the right answer.
Smoobu — the underrated middle ground
Smoobu sits between Lodgify and Guesty in complexity and cost. Its channel manager is reliable, its website integration options are flexible, and its unified inbox is one of the better ones in the category. It is our recurring recommendation for owners of five to twenty-five units who have outgrown Lodgify but do not want to pay Guesty economics. Especially strong if a large share of your bookings comes through Airbnb.
Hostaway — operations-first
Hostaway is built around the operational side of property management: task management, automation rules, guest communication flows, cleaner and maintenance coordination. It is a better fit for property management companies than for a single hotel or villa. If your bottleneck is not marketing but operations — coordinating turnovers, tracking issues, keeping cleaners paid on schedule — Hostaway is worth looking at seriously.
Hospitable — messaging and automation, mostly
Hospitable (formerly Smartbnb) started as automated guest messaging for Airbnb hosts and has grown into a light PMS. Its automations for pre-arrival messages, WiFi codes, checkout reminders, and review requests are the best in class. It is not a full replacement for a Mews or a Guesty at scale, but paired with either of those it can be an excellent messaging layer. For a small owner-operator with one to five units, it is often enough on its own.

How much does hotel PMS software cost in 2026?
Entry platforms such as Lodgify and Smoobu typically start around 30-60 EUR per month for a small property, mid-market systems such as Mews are usually quoted per room per month, and Guesty and Avantio price per unit with a minimum contract, which is why they only make sense above roughly forty units. Always ask what the booking engine, payment processing and OTA connections add on top — the headline price rarely includes all three.
Can I switch PMS without losing my booking history and reviews?
Booking history and guest records can normally be exported and imported, and every serious platform will do the migration with you. OTA reviews stay with the OTA listing, not the PMS, so they are not at risk. The real cost of switching is staff retraining and rebuilding integrations, which is why it is worth choosing carefully the first time.
Which system suits a property with both hotel rooms and villas?
Mews handles mixed inventory well because rooms and whole-property units can live under one rate structure, and Avantio is the stronger option if the villas are owned by third parties and need owner statements. Running two separate systems for one property almost always creates double bookings.
